4. SERVICE PROVIDERS
We share data with third-party service providers that help us operate our business, our practitioner platform, and our AI Assistant. These providers are bound by their own privacy and security commitments and are permitted to use your information only as needed to deliver their services to us.
Our service providers perform functions including:

Our AI service providers do not use customer conversations to train their models by default, and they retain data only for limited periods consistent with their published policies before deletion. Operational logs maintained by our hosting providers are retained for limited periods and do not include the text of your AI Assistant messages.
Third-party service providers may update their policies, retention periods, and security practices from time to time. We may also add, remove, or replace service providers as our services evolve.
5. DATA RETENTION
We retain your information for as long as needed to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements.
- Account and contact information is retained for the duration of your relationship with us and a reasonable period thereafter.
- AI Assistant conversations and messages are retained indefinitely unless deleted at your request or at our discretion. We do not auto-purge this content.
- Rate-limiting and abuse-prevention records are automatically purged on a rolling basis (typically within 24 hours).
- Logs maintained by third-party service providers follow their own retention schedules.
If you would like your AI Assistant conversations or account data deleted, please contact us using the information in Section 13. We will respond to verified requests within a reasonable period, typically no later than 30 days.
6. DATA SECURITY
We implement appropriate technical and organizational security measures to protect your personal information from unauthorized access, disclosure, or alteration. These include encryption at rest for our primary database, gated access controls for the practitioner platform, and contractual safeguards with our service providers. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.
7. PROTECTED HEALTH INFORMATION (PHI) AND CONFIDENTIAL CLIENT DATA
We are in the process of putting HIPAA Business Associate Agreements (BAAs) in place with applicable service providers. Until we notify you in writing that a BAA is in place that covers your specific use, you must not submit Protected Health Information (as defined under HIPAA) or other confidential client information through our practitioner platform, AI Assistant, or other services. Practitioners are solely responsible for complying with all privacy and confidentiality obligations that apply to their own practice, including HIPAA, state privacy laws, and the requirements of any professional licensing body.
